Overall purpose:

To provide professional and proactive HR and recruitment focused administrative support to the HR Department at the London Institute of Medical Sciences (LMS). Specifically providing an effective recruitment service as well as general support to the HR Advisors and wider team.

Main duties and key responsibilities:

 Recruitment:

 In order to support HR Advisors in the management of recruitment campaigns you will:

  • Provide administrative support for the end to end recruitment process, including initial discussions regarding campaigns with the wider HR team, the co-ordination of recruitment documentation, the creation of advertising and campaign monitoring, shortlisting and interview co-ordination and contract generation and suggest improvements where necessary
  • Support where possible in the management of immigration cases. You will need to be willing to learn the process and provide any support which may be required.
  • Provide proactive monitoring of the recruitment service undertaking research as and when required e.g. investigating media sources and carrying out fact finding and recruitment data analysis (such as EDI)
  • Administration of new starters including right to work checks, UKSBS onboarding forms, access forms, new starter bags and occasional support with HR inductions

General administrative tasks:

  • To act as the first point of contact for visitors to the HR department, directing queries as appropriate to the HR Advisors and wider team and effectively trouble shooting where possible
  • To jointly oversee the efficiencies of the HR admin function including escalating matters to the HR Advisors as appropriate
  • To provide cover and support to the HR Admin Assistant during busy periods and absences
  • To manage the visiting workers process
  • To manage the LMS email/IT account request process

Working relationships:

  • You will be line managed by the Senior HR Advisor with all HR team providing support and guidance. You will work alongside the HR Assistant.
  • Daily communication will be required with HR Advisors and the wider team
  • Regular communication will be required with UKRI, Imperial College, and with UK Shared Business Service (UK SBS)

Education / qualifications / training required (will be assessed from application form):

Essential:

  • Educated to A Level standard or equivalent experience.

Desirable:

  • Level 2 Business & Administration qualification or equivalent.
  • Level 3 CIPD

Previous work experience required (will be assessed from application form and at interview):

Essential:

  • Experience of working in a busy office environment
  • Experience of working as part of a team
  • Experience of prioritising own workload

Desirable:

  • Experience of working in an HR environment and providing HR administration
  • Experience in end-to-end recruitment process

Knowledge and experience (will be assessed from application form and at interview):

Creativity and initiative

Essential:

  • Ability to act on own initiative, but also to know when to seek advice
  • Ability to think creatively and interpret instructions

Independent working

Essential:

  • Intuitive with the ability to manage challenging situations with little or no supervision
  • Willingness to venture into the lab and liaise with staff and visitors as necessary

Desirable:

  • Experience of carrying out project work

  • Exceptional communication skills, applying diplomacy where needed
  • Attention to detail in written work
  • Ability to interact with varying levels of staff and visitors
